How to Easily Save Documents as PDFs, No Scanner Required

How to Easily Save Documents as PDFs, No Scanner Required

A surprising amount of paper gets printed for just one reason: to save a physical copy or sign a document, only to immediately be scanned right back into digital format.

If you’re stuck in this wasteful "print-and-scan" loop, a faster, MUCH cleaner solution is already built into your computer: printing to PDF.

What Does "Print to PDF" Actually Mean?

When you send a document to a physical printer, your computer sends instruction codes to produce ink on paper. When you "Print to PDF," your system utilizes a virtual printer driver to capture that same visual formatting and package it directly into a permanent digital file.

Instead of waiting on paper trays and scanner feeds, your document converts instantly into a clean, search-friendly PDF saved right to your device, so you can save time and money while getting a better document.

How to Print to PDF on Windows and Mac

You don't need expensive software or a complex IT setup to start saving paper today. Both major operating systems make the process simple:

Printing to PDF in Windows 10 & 11

  1. Open the file or web page you want to save.
  2. Press Ctrl + P (or select File > Print).
  3. In the printer selection dropdown, choose Microsoft Print to PDF.
  4. Select Print, choose your destination folder, and name your file.

Printing to PDF on macOS

  1. Open your document or browser window.
  2. Press Cmd + P (or select File > Print).
  3. Look at the bottom-left corner of the print preview menu and select the PDF dropdown.
  4. Select Save as PDF, name your file, and choose where to save it.

It really is that easy!
