The Truth About Cloud Security

When I explain the cloud to business owners, I usually tell them it's basically just entrusting a massive corporation to manage the computer for you. It's a great setup. You don't have to worry about physical server hardware catching fire, taking up space, or humming away in a dusty utility closet. Somewhere along the line, however, a major misunderstanding walked through the door.

A lot of people think that because their files live in the cloud, they are automatically backed up, safe, and completely off the hook. Believe me, it’s a nightmare when a business owner finds out the hard way that this isn’t true. Listed below is a look at what your cloud provider actually guarantees, and what they leave entirely up to you.

High Availability vs. Real Recovery

When a cloud company promises "99.9% uptime," they are talking about availability, not recoverability. They have built massive, overlapping data centers so that if lightning strikes one facility, your files instantly load from another one.

That sounds amazing, right? It is, but it only means the connection is alive.

If an employee accidentally deletes a critical client folder, that deletion instantly synchronizes across every single one of those data centers. The cloud worked perfectly—it replicated your exact actions across the globe… but now your data is gone in a flash, and "high availability" won't bring it back.

The Recycle Bin is Not a Strategy

I've heard some folks say, "Well, if we delete something, we can just pull it out of the trash bin in Microsoft 365 or Google Workspace."

If an IT professional tells you that's your backup plan, you should probably look for a new IT professional.

Most cloud recycle bins automatically empty themselves after 30 or 90 days. Here is the scary part: the average cyber breach goes completely unnoticed for over 200 days. If a rogue actor or an unhappy worker deletes historical financial records, you might not notice until months after the cloud provider has permanently scrubbed the trash.

Worse yet, think about ransomware. Hackers don't delete your files; they encrypt them. The files are still right there in your cloud account, but they are completely locked down until you pay a fee (which you should never do, by the way). A recycle bin can't help you roll back the clock to the minute before the infection hit. An independent, external backup can.

Major cloud providers operate under a framework called the "Shared Responsibility Model." It sounds like tech jargon, but it basically boils down to a strict division of labor: security of the cloud versus security in the cloud.

The Provider's Job

They take care of the physical data center, the electricity, the hardware, and the global network routing. They are guarding the building.

Your Job

You are entirely responsible for what you put inside that building. That means your data, your intellectual property, your user accounts, and your passwords.

If a hacker cuts through the physical security fence at a data center, that’s on the provider. If a hacker phishes your office manager's password because multi-factor authentication (MFA) wasn't turned on, that is entirely on you.

Moving your business to the cloud is a smart move that gives your team a ton of flexibility, but it doesn't mean you can completely outsource your basic data protection duties. You still need an independent backup strategy to keep your business safe when human error or a clever scammer strikes.
