Why Your Organization Needs a Balanced Approach to AI

Why Your Organization Needs a Balanced Approach to AI

Every time a major piece of technology hits the market, the panic sets in. Right now, artificial intelligence is the current boogeyman. If you read the most sensational headlines, you may think we are only a few weeks away from machines taking over your operations and locking you out of your own building.

The reality is a lot less cinematic. At its core, technology is a tool, not a replacement for human talents. Artificial intelligence has great promise, but if you adopt it intending to phase out your human workers and minimize what you have to pay in salary, you are making a massive mistake. As good as these models have gotten in the few years they have been mainstream, they still lack the skills, contextual understanding, and empathy only a human worker can offer.

Your fear shouldn't be about AI taking over. It should be focused on the actual, practical threats of using a new tool improperly, and how to avoid the financial consequences of doing so.

The Real Threats of AI, And How to Avoid Them

People aren't actually afraid of cyberattacks or new technology; they’re afraid of the consequences. They don’t want the fines, they don’t want to lose business, and they don’t want to be stolen from. When it comes to implementing AI in your business, those are the exact areas where you need to focus your attention.

  • Data leaks and privacy violations - If you or your employees are feeding sensitive client data, financial records, or proprietary code into public AI models, you are essentially publishing that data to the world. You need strict internal policies dictating what can, and cannot, be shared with public tools.
  • Hallucinations - Accuracy is still a bit rough. While a lot of the outputs are pretty good, there is still an absolute need for knowledgeable oversight. Never take AI-generated data at face value, and always have a human review it for factual correctness.
  • Phishing attempts - Cybercriminals are using AI to write highly convincing phishing emails, completely free of the usual typos and grammatical errors we used to rely on to spot a fake. Your team needs to be trained on what these new, sophisticated threats look like so they don't accidentally hand over the keys to your network.

How to Put AI to Work for Your Productivity

If you manage the risks, AI can be an incredibly helpful tool for pulling a business forward. The process is actually pretty simple if you focus on efficiency. Here are a few ways your human workers can use AI to accomplish more with their time:

  • Drafting and outlining - Staring at a blank page is a massive waste of time. AI is excellent at generating a first draft of a routine email, a meeting agenda, or a project outline. Your human team can then step in to fact-check it, emphasize empathy as they edit it, and polish it for sending.
  • Summarizing dense information - If you have a massive report or a long chain of emails that you need to digest quickly, feeding it into a secure, private AI tool can give you the bullet points in seconds.
  • Brainstorming - Sometimes you just need a sounding board. Asking an AI model for ten different angles on a marketing campaign can help get the creative juices flowing for your actual marketing team.

You don't need to be afraid of new technology, but you do need to be smart about how you roll it out. Some restrictions on how AI is used in your office are absolutely necessary, but these should be largely invisible to your staff when set up properly. If you over-restrict, your team will likely feel uncomfortable at work and be less productive as a result. If you under-restrict, you risk your data.

My job is to make technology as useful to businesses as possible. We can help you find the right balance, configure secure AI tools that keep your business data private, and train your staff on how to use them safely and effectively.
